N-Jet, a full service aircraft management and charter company located at Chicago Executive Airport in Wheeling, IL, is seeking a motivated and highly reliable full-time Trip Coordinator to join our team 8:30am-5:30pm weekdays with rotating weekends on call and as needed 24/7. Candidate must possess an outgoing personality and be detail oriented. You must possess excellent verbal communication skills and the ability to maintain a high level of customer service in a fast paced work environment. You must enjoy the smallest details, be highly customer care oriented, exceedingly organized, and always professional.
Key Roles and Responsibilities:
Execute daily operations of scheduling flights and crews in accordance with client needs, federal regulations, and company policy while emphasizing safety, service and commitment to excellence.
Communicate directly with clients to arrange travel details, ground transportation, catering, and similar services with the highest level of customer care.
Collaborate with team members, clients, aircraft owners, operators and brokers to accurately compile charter quotations.
Ensure all required customs, immigration, agriculture; international handling requirements, or foreign government regulations and requirements are met on international flights.
Assist team in finalizing details to dispatch charter trips professionally and promptly.
Ensure required trip sheets and all other required trip documents are sent to and received by the appropriate departments.
Coordinate crew travel for trips and training.
Must be able to answer telephones, complete peripheral operations research and collect information as a member of the charter team.
Must be able to develop new retail customers as well as maintain strong existing client relationships.
Must be able to handle the demands of a job that requires 24/7 availability as well as rotating on call weekends.
Must be able to adapt to change on a constant basis.
Must make decisions that do not compromise safety while understanding the internal and external customer needs.
